Special Assistant to the CEO

Job Description

The Special Assistant will fulfill traditional Executive Assistant responsibilities for the CEO and help manage select short-term special projects that the CEO takes on. Special projects include events, meetings, and aid campaigns that exist outside of regular RDI programming and only run for a fixed period of time. The Special Assistant would be responsible for setting special project timelines with the CEO and hiring contractors to execute on these special projects.

Tasks and Responsibilities

  • Coordinate and maintain the CEO’s schedule and communications to ensure his and the organization’s priorities are met.
  • Proactively triage daily challenges, which will involve coordinating with the team, evaluating situations (phone calls, emails, mail, reports, etc.), and responding to inquiries.
  • Attend meetings and turn discussions into action items, establish clear timelines, and maintain and pass along notes and action items to appropriate team members.
  • Coordinate and manage the CEO’s travel accommodations and ensure that his schedule is practical and feasible during travel.
  • Prepare briefing and background materials for potential special projects, TV interviews, substantive discussions, etc.
  • Develop talking points and presentations as needed for external meetings as well as RDI Board meetings. 
  • Keep track of internal and external follow-ups and action items for the CEO.
  • Manage and organize project files on the organization’s project management software and CRM.
  • Develop and maintain plans for all special projects. Plans will detail project scope, feasibility, goals, expectations, costs, responsibilities, and challenges.
  • Communicate the feasibility, cost, scope, and timeline of all special projects to the CEO and the Executive Team.
  • Track project performance and develop measures of success to analyze the progress towards short and long-term goals. Assist the CEO and Stewardship Director with materials describing project results.
  • Establish and maintain relationships with relevant stakeholders and third parties/vendors.

Qualifications and Skills

  • 4+ years of experience as an executive assistant.
  • Clear and concise writing style.
  • Comfortable interacting with high-profile individuals.
  • Ability to work effectively in a fast-paced environment.
  • A true passion for organization, problem-solving, efficiency, and attention to detail.
  • Strong aptitude for various forms of technology (e.g., Microsoft 365, Google Workspace, project management and professional softwares such as CRMs).
  • DC area strongly preferred, but Northeast corridor also acceptable.
